How a private members club gave every host the knowledge only the founder used to have

The founder was the only person who could answer brand, member, and strategy questions. We built a knowledge base, a prospecting pipeline, and auto-generated event tools so the whole team could operate without going through him.

The problem

A private members club was opening its flagship in 2026. The founder had written 200+ pages of strategy. But only he could navigate it. Staff had to go through him for brand questions, positioning decisions, and meeting prep. The team also needed to research 3,000+ founding member candidates and run 150+ events a year. RSVPs, introductions, and bio books were all done by hand.

What we built

  • Any staff member can now look up strategy in plain English. The AI broke 200+ pages into 8 focused modules: brand, hospitality, member experience, founding-cohort criteria, and more. A host can answer a brand question or prep for a meeting without reading the whole document.
  • The founder stopped being the bottleneck. A custom AI with three modes handles what used to require his input: high-level synthesis, meeting prep briefings, and fit analysis for new ideas.
  • Researching 3,000+ founding member candidates became something the team can actually do. The AI pulls each person's giving history, business background, and alignment with the club's values. Doing this by hand would take months.
  • Guests get personalized introduction cards at major events. The AI cross-references two CRM databases and tells each attendee the three people they should meet and why. Before this, only a senior host with a full memory of the room could do it.
  • Event bio books publish automatically. The AI assembles each attendee's bio into a member-only website deployed to Vercel. No graphic design step, no manual formatting.
  • Hosts know who is walking in before the event starts. For the SXSW day party, the AI enriched each inbound RSVP in real time and pushed structured profiles into the CRM. No more being caught off guard at the door.
  • The founding team can browse and tag prospective members quickly. The AI scrapes public profiles and presents them in a swipeable interface the team can move through in minutes.
