How a capital markets BD partner turned every meeting recording into six deliverables

He had no executive assistant and worked at a firm where most consumer AI tools could not pass IT review. We built a system that turned every meeting recording into action items, follow-up drafts, LinkedIn content, and deal intel automatically.

The problem

A VP at a food and consumer goods capital markets firm ran a high volume of business development deals with no executive assistant. He needed post-call follow-up and inbox management, but the firm's IT would not approve most consumer AI tools.

What we built

  • Every meeting recording becomes six deliverables automatically. The AI listens and produces: action items, follow-up email drafts in his voice, a LinkedIn post draft, story bank entries, deal intel, and a structured meeting log. Before, those outputs needed six different people, or just never happened.
  • His inbox works for him now, not against him. Phase 1 used native Outlook server-side rules so priority contacts surface to the top and newsletters auto-archive. This is the foundation that makes the smarter routing in Phase 2 worth building.
  • LinkedIn drafts that sound like him, not generic AI output. The AI analyzed his existing posts to learn his cadence, vocabulary, and sign-offs. First drafts are ready to edit, not rewrite.
  • Inbox routing that handles judgment calls rules cannot make. Power Automate keeps the workflow inside the tools IT approved. Claude decides what kind of message it is: a warm reply, a cold pitch, or something else. Basic rules cannot do that. Claude can.
