How a commercial real estate broker built outreach automation that IT could not block
His firm's IT department blocked all third-party email tools. So we built his outreach and document workflow on the side of the system IT did not control: his personal Mac Mini, LinkedIn, and Telegram.
The problem
A broker at a large national CRE firm needed three things: a way to find new prospects, a system to stay in touch with existing relationships, and a faster way to produce pitch documents. The problem was IT had locked down corporate email. No third-party tools could connect to it. LinkedIn on his personal account was open. His personal computer at home was open. That became the foundation.
What we built
- AI agents that run on his own hardware and never touch the corporate network. We set up OpenClaw on a Mac Mini at his home. It runs his AI workflows, pushes updates to him through Telegram, and stays completely off the firm's IT radar.
- Outreach that used to take 4 hours now takes 20 minutes. AI finds prospect tenants and decision-makers in his territory, reads their recent news, and drafts a personalized opening message for each one. He reviews a queue and approves what looks right. No more spending evenings writing cold messages from scratch.
- Pitch books and offering memorandums get done without waiting for the analyst team. AI reads the property file, pulls the rent roll, comp set, and sponsor details, and builds a finished draft in the firm's template. The broker gets a document ready to review, not a blank page to fill.
- He stays inside his firm's rules while still getting the leverage. AI runs on his Mac Mini and delivers drafts through Telegram. He reviews them and sends from his corporate Outlook account himself. Nothing connects to the corporate network, so IT has nothing to block.
